Enabling and Using Subscriptions in Ultimate POS

Subscriptions in Ultimate POS allow businesses to manage recurring sales efficiently. This feature is particularly useful for services or products that are sold on a regular basis. Below is a comprehensive guide on how to enable and use subscriptions within the system.

Enabling Subscriptions

  1. Access Modules:
    • Navigate to Modules in your Ultimate POS settings.
  2. Enable Subscriptions:
    • Check the box labeled “Enable Subscriptions.”
    • Click Save to apply the changes.

Important: To ensure that subscription invoices auto-generate, a cron job must be set up. This is crucial for automating the invoicing process.

Using Subscriptions

Adding Subscriptions

Subscriptions can be added from both the POS sales screen and the regular sales screen.

  1. In the POS or Sales Screen:
    • When creating a sale, look for the “Subscribe?” checkbox.
    • Click on this checkbox to indicate that this sale will be a subscription.
  2. Subscription Frequency:
    • A popup modal will appear prompting you to enter:
      • Subscription Frequency: Specify how often the subscription should occur (e.g., every 1 day, every 5 days, every 1 month).
      • Number of Occurrences: Enter how many times the subscription should repeat (e.g., enter 5 for five occurrences). Leave this field blank for an unlimited subscription.
  3. Save Subscription:
    • After entering all necessary details, save the subscription.

Managing Subscriptions

  • All subscriptions can be viewed and managed from the Sell -> Subscriptions screen.
  • From this screen, you can start or stop existing subscriptions as needed.

Notifications for Subscription Invoices

When a subscription invoice is auto-generated:

  • Notifications are sent to both the admin and the salesperson involved in the transaction, ensuring that all relevant parties are informed.

Subscription Indicators

While adding subscription sales, indicators will be displayed in the “All Sales” screen to signify the status of each subscription:

  1. Blue Indicator:
    • Indicates that this is an automatically created subscription invoice.
  2. Red Indicator:
    • Indicates that it is a recurring invoice set to repeat for a specified number of times. Once the specified number of occurrences is reached, it will turn into a blue indicator invoice.
